Adelaide Falcons Cricket Club
Privacy Policy
Version 2.0 — effective 10 September 2026
Adelaide Falcons Cricket Club (“we”, “us”, “our”) is an incorporated association in South Australia. This policy explains what personal information we hold, why we hold it, and what we do with it. We follow the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
1. This website collects nothing about you
This site is a set of fixed pages. There are no accounts, no logins and no forms — the only way to contact us from here is an email link that opens your own mail program. We do not set cookies, and we do not use advertising or tracking services.
Our hosting provider, Cloudflare, records anonymous page-view counts so we can see roughly how many people visit. This measurement does not use cookies and does not build a profile of you or follow you to other sites. Cloudflare also keeps short-lived technical logs of requests to the site, as any web host does, to deliver pages and block attacks.
You can read this whole site without telling us who you are. Everything that follows is about information the club holds on its members and supporters, which is collected away from this website.
2. Information we collect, and how
We collect personal information directly from you when you join or deal with the club — on a membership or registration form, by email, or in conversation with a committee member. This may include:
- Your name, email address and mobile number;
- An emergency contact name and number;
- Whether you consent to your photograph being published;
- Records of fees you owe and payments you have made;
- For sponsors and suppliers, business contact and agreement details.
We do not collect sensitive information — health or medical details, or Working With Children Check records — through this website or the club’s own registers. Where a competition, a grant or the law requires such a check, it is handled by the responsible body directly.
3. Why we hold it
We use your personal information only to run the club:
- To administer your membership and enter you in competitions;
- To contact you about fees, fixtures, events and club announcements;
- To contact your nominated person in an emergency at cricket;
- To keep the financial and membership records the club is required to keep;
- To publish photographs on the club website and Facebook page — only where you have given consent, which you may withdraw at any time.
We do not sell your information, we do not rent or trade it, and we do not use it for commercial marketing.
4. Where it is kept, and who can see it
Club records are held in the club’s own Google Drive account. Google stores and processes that data on our behalf under its own terms; the club owns the account and the files in it.
Access is limited to the committee members who need it for their role — the Treasurer sees the finance records, the Secretary sees the member register, and so on. Emergency contact details are visible to the committee only. When a committee member’s term ends, their access is removed. This is set out in the club’s internal data-handling policy.
We disclose personal information outside the club only in these cases:
- Our cricket association and competition platform — the names and contact details needed to register you and record match results;
- Google — as the provider storing the club’s records, as described above;
- Where the law requires it, or to prevent a serious threat to someone’s life, health or safety.
We do not otherwise disclose your information to anyone without your consent. The club does not send personal information overseas for its own purposes, though our providers may store data on servers outside Australia.
5. Keeping it secure
We take reasonable steps to protect personal information from misuse, loss and unauthorised access. In practice that means: records live in the club account rather than on personal devices, access is granted to named people rather than by public sharing links, that access is reviewed and removed when a role ends, and the club account is protected by strong sign-in controls.
No system is perfectly secure. If a data breach occurs that is likely to cause you serious harm, we will notify you and the Office of the Australian Information Commissioner as required by the Notifiable Data Breaches scheme.
6. How long we keep it
We keep personal information only as long as we need it, or as long as the law requires, and then destroy or de-identify it (APP 11.2).
- Financial records — fee and payment records, invoices and receipts are kept for seven years from the transaction, as tax law requires, then destroyed.
- Member contact details — kept while you are a member and for two years after your membership ends, so we can settle any outstanding matters, then removed. Where a record is tied to a financial record we must keep, the minimum identifying detail stays for the seven-year period.
- Emergency contact details — removed when your membership ends.
- Meeting minutes and official club records — kept permanently, as an incorporated association is required to do. These may record members’ names.
- Photographs — kept while they remain in use on club channels. If you withdraw consent we remove them from the club website and Facebook page.
7. Seeing and correcting your information
You may ask us what personal information we hold about you and ask us to correct anything that is wrong or out of date (APP 12 and APP 13). Write to the address in section 10. The Secretary coordinates these requests and will normally respond within 30 days. There is no charge.
You may also ask us to delete your information. We will do so unless we are required to keep it — financial records within the seven-year window, and official records such as minutes, cannot be deleted until that obligation has passed.
8. Complaints
If you think we have mishandled your personal information, please tell us first at the address in section 10 so we can put it right. If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner.
9. Changes to this policy
We may update this policy. The version number and effective date at the top of this page always show which text is current, and we will tell members by email before a material change takes effect.
